Privacy Policy

This policy explains what information the GRFD Mobile app collects, how it is used, and how it is protected. GRFD Mobile is an internal operations application for Goldwater Range Fire Department personnel — it is not available to the general public, and accounts are issued only to department employees and authorized personnel.

Information We Collect

Because this app manages department scheduling, safety, and personnel records, it collects:

• Account information: name, employee/accountability number, position, shift assignment, phone number, and email address.
• Emergency contact information: a designated emergency contact's name and phone number, visible only to department managers.
• EMS certification: certification level (EMT/Paramedic) and certification number, where applicable.
• Operational records: overtime history, leave and PTO requests and balances, shift swap requests, SCBA equipment logs, personnel accountability (PAR) session data, pump testing logs, roster and crew assignments, and union voting records.
• Push notification token: a device-specific token used to deliver operational alerts (e.g. shift coverage requests, leave approvals), provided through Expo/Firebase Cloud Messaging.
• Session information: IP address, device type, and login timestamps, used to secure and manage active sessions.

How We Use Information

Information collected through the app is used only for department operations, including:

• Scheduling, shift coverage, and overtime assignment
• Leave and PTO tracking and approval
• Personnel accountability and safety recordkeeping during incidents
• Equipment and compliance logging (SCBA, pump testing)
• Internal department communication and notifications
• Account security and session management

Information Sharing

We do not sell or share personal information with third parties for advertising or marketing purposes. Information is shared only with:

• Department administrators and managers, for the operational purposes described above
• Expo/Google Firebase Cloud Messaging, solely to deliver push notifications to your device

Data Retention

Operational records are retained for as long as needed for department recordkeeping. Some data is purged automatically on a schedule: inactive login sessions after 90 days, delivered/dismissed notifications after 30-60 days, and expired availability postings and protected-day submissions after they are no longer active. Personnel and safety records tied to a specific incident or compliance requirement are retained separately per department policy.

Data Security

Passwords are stored using industry-standard one-way hashing and are never visible to administrators. Access to the app requires an authenticated session token, and sensitive fields (such as emergency contact information) are restricted to authorized manager roles.

Your Rights

You can view and update most of your own information (contact info, EMS certification, emergency contact) directly within the app. For any other request — including correction or deletion of records — contact your department administrator using the information below.

Children's Privacy

GRFD Mobile is an internal workforce application intended solely for department personnel and is not directed at or knowingly used by children.

Changes to This Policy

If this policy changes, the updated version will be posted at this same address with a revised "Last updated" date.
